Linking Athena Workflow with QuickBooks Online

Follow these steps to connect your Athena Workflow account to QuickBooks Online. The integration enables two-way financial data synchronization, real-time reporting, and integrated dashboards.

Steps to Connect

Connect Athena to QuickBooks

Follow these nine steps to establish the connection between Athena Workflow and your QuickBooks Online account.

Step 1

Select a Company in Athena Workflow

Navigate to any company in your Athena Workflow account. Open the company profile by clicking on the company name from your client list.

Step 2

Open the Company Dashboard

Click on the company name at the top left to access the company dashboard. This is where you'll find all integration settings for that specific client.

Step 3

Click "Connect to QuickBooks"

In the company dashboard, locate the QuickBooks section. Click the green "Connect to QuickBooks" button to initiate the OAuth connection.

Step 4

Sign In to QuickBooks Online

A QuickBooks login window will appear. Enter your Intuit credentials (email/user ID and password) to authenticate.

Step 5

Verify Your Identity

QuickBooks may ask you to verify your identity. Choose to receive a verification code via text or email, then enter the code to continue.

Step 6

Enter the Confirmation Code

Check your phone or email for the verification code from Intuit. Enter it in the confirmation field and click continue.

Step 7

Select the QuickBooks Company

If your Intuit account has multiple companies, select the specific QuickBooks Online company you want to link to this Athena Workflow client.

Step 8

Map Client Information

Select which client and company information to sync. Confirm the mapping between your Athena client record and the QuickBooks company data.

Step 9

Connection Complete

Once connected, the QuickBooks section in the company dashboard will show a green "Connected" status. Financial data will begin syncing between the two platforms.

Disconnecting

How to Disconnect QuickBooks

If you need to unlink a QuickBooks Online account from a company in Athena Workflow, follow these steps.

Steps to Disconnect

Navigate to the company in Athena Workflow and open the company dashboard.

Locate the QuickBooks section showing "Connected" status.

Click the "Disconnect" button to remove the QuickBooks link for this company.

A confirmation dialog will appear. Click "Disconnect" to confirm. Financial data sync will stop immediately.

Note: Disconnecting will stop financial data synchronization immediately. Previously synced data will remain in both systems but will no longer update automatically.
